PAyment and Cancellation policy - Playful by nature

  • The purpose of this policy is to ensure consistent, fair and transparent booking, payment and cancellation procedures for sessions and services provided by Playful By Nature.

    The company is committed to providing our families with the opportunity to partake in Nature play activities, however our numbers are limited by our ratios. When a family cancels without giving enough notice, they prevent another family from participating in our session. We also book our activity providers and staff based on a certain minimum number of children to ensure adequate ratios for risk management.

    Credit- book a future session to the same dollar value (subject to availability and expiry date)

    Refund- full fees returned via your payment gateway

  • Bookings for Playful By Nature programs can be made via Bookeo at https://bookeo.com/playfulbynature

    Payment must be made at the time of booking. Assistance with booking arrangements, including the issuing of an invoice, may be possible through writing to us for approval. Alternative payment arrangements may be available upon request.

  • Fees vary from session to session but must be paid upfront via Paypal, Bank deposit, Credit Card or by other payment options by prior arrangement before a session starts. This gives Playful By Nature time to organise resources, cancel/rearrange programs, staff, venue hire etc if we don’t meet minimum requirements for that particular program.

  • We understand that at times life happens and you may need to cancel. Please contact us via email a minimum of 48hours before the session start time to qualify for a credit or refund. Cancellation within 48 hours of the session start time will result in a forfeit of all fees paid.

  • If you, your child or a member of your household is unwell, for the safety of our community, please stay at home and notify us via email. Because our fees, cost and staffing are based on particular ratios, we unfortunately cannot offer refunds if your child is absent due to illness.

    If your child arrives at a session showing signs of illness (fever, sore tummy, snotty nose or cough) we will contact you to come and pick them up (drop-off programs).

  • In the event that a participant chooses to leave before the completion of the term (for whole-term bookings), no refunds, credits or transfers will be given.

  • Severe weather compromises the safety of all participants. The severity of the weather event can pose different challenges for different sites and may include but not be limited to thunderstorms, high winds with the risk of branches falling, or flash flooding. If severe weather is forecast and a new venue cannot be found, the session may be cancelled in advance (the day before or earlier). In this case we are able to offer you a credit towards another session.

    However, if a session is cut short or cancelled half way through due to a severe weather event or unsafe conditions, we are unfortunately unable to refund the day’s fees.

  • In the event of very wet weather, extreme heat or extreme cold, we may use our discretion and knowledge of the location and activities, to cancel the session. In this case, you will be offered a credit to use for a future session.

    However, some sessions will still go ahead in the rain, heat or cold, and we ask that you come prepared with rain gear and spare clothes, or warm weather gear for your comfort in activities. If you choose not to attend based on weather/rain, we do not offer refunds or credits.
